These Terms & Conditions outline the main rules governing the booking and rental of Arcadium games and the delivery of our services at the customer’s location. Confirming a booking means accepting the terms and service details agreed upon before the event.

Booking and Confirmation

The minimum booking with Arcadium is two games. A booking is confirmed after the customer provides the required information and the selected games, event date, location, and service details have been agreed upon.

We recommend booking at least 3 days before the event. Additional lead time may be required depending on the size of the event, number of games, and setup requirements.

Under Arcadium’s current booking policy, no advance deposit is required to confirm a standard booking unless otherwise agreed for a specific service or request.

Delivery, Setup, and Venue Requirements

Arcadium’s service includes the transportation, delivery, and setup of games at event locations within Jeddah. Additional delivery fees may apply to locations outside Jeddah depending on the city, distance, and event location. Any applicable charges will be communicated before the booking is confirmed.

The customer must provide a suitable power supply, sufficient and safe space for the selected games, and reasonable access to the venue so the equipment can be delivered, installed, and removed safely.

Rental Period and Setup

The rental duration and operating hours are determined according to the selected package and the details agreed upon for each event.

The Arcadium team will deliver and prepare the games before the event begins. Under normal venue conditions, game setup generally takes no more than approximately 30 minutes. Equipment will be dismantled and collected after the agreed rental period ends.

Changes and Cancellations

Customers may request to change the event date or cancel a booking by contacting Arcadium at least one day before the scheduled event.

Any rescheduled date is subject to the availability of the selected games and the Arcadium team. Requests made closer to the event date will be reviewed according to the status of the booking and any preparations already completed.

Customer Responsibility for Equipment

Customers are responsible for keeping Arcadium’s games and equipment in proper condition while they remain at the event venue.

Games must be used only for their intended purpose, and liquids or other materials that may damage electrical equipment must be kept away from the machines.

The customer is responsible for damage or loss resulting from misuse, negligence, or improper handling during the rental period.

Technical Issues

If a technical issue occurs during an event, the customer may contact Arcadium’s support team through the approved communication channels so the issue can be assessed and handled.

Where an Arcadium supervisor is present at the event, they will assist directly with technical issues according to the nature of the problem and the available solution.

Custom Branding

Selected games may be customized or branded with a company’s or event’s visual identity upon request.

Branding is an additional service and may require extra preparation time and additional charges. All requirements, costs, and production timelines will be agreed upon with the customer before confirmation.

Safety and Game Use

All games must be used in accordance with their intended purpose and any operating or safety instructions provided by the Arcadium team.

Customers must provide sufficient safe space around the equipment and ensure that games are not used in a way that could endanger users or damage the machines.

Event supervision may also be arranged depending on the type of games and the customer’s requirements.

Multiple Events on the Same Day

The ability to accommodate more than one event on the same day depends on game availability, confirmed bookings, and the packages required for each event.

Bookings for simultaneous events therefore remain subject to confirmation of available equipment and operational capacity.

Emergencies and Force Majeure

Where circumstances outside reasonable control make it impossible to reach the venue or operate the games safely including severe weather, power failure, restricted access, or similar circumstances. Arcadium will assess the situation and communicate with the customer to determine the appropriate course of action based on the circumstances of the event.

Additional Charges

Additional charges may apply to certain services, including delivery outside Jeddah and custom branding or wrapping of games.

Any additional fees will be communicated and agreed upon before the relevant service is provided.

Damage Caused by Misuse

If a game or any of its components is damaged because of misuse by the customer or event attendees, the customer will be responsible for the resulting damage.

Repair or replacement costs will be determined according to the condition of the equipment and the extent of the damage. Where misuse results in complete loss of the equipment, the customer may be responsible for the full value of the affected game as agreed and documented.

Customer Responsibilities

Customers must provide accurate and complete information about the event, including the name, date, location, requested games, and any information that may affect service delivery.

The customer is also responsible for ensuring that the venue meets all agreed requirements and for informing Arcadium in advance of any restrictions or conditions that may affect transportation, setup, operation, or collection of the games.

Customer Service

Customers may contact the Arcadium team for bookings, inquiries, and support through the official communication channels provided by Arcadium. Requests are handled during the company’s approved customer service hours.

Arcadium may update these Terms & Conditions from time to time as its services develop. The version applicable at the time of booking will govern the confirmed service.
